Business Travel Data Collection
This guidance is for the Positive Planet - Business Travel data collection process. It covers the data collection process for employees use of own vehicles, all other forms of transport and accommodation.
Business Travel
We can accept travel reporting in a few different ways, so you will have to see how your travel has been recorded in the past, e.g distance, litres of fuel or spend. You can report travel at each site, or just for the whole organisation.
Please note: Do not include commuting data under Business Travel as it has its own category for reporting. Additionally, do not include travel costs for customers or journeys that were not taken by direct employees of the organisation. This includes contractors and customer trips (if you are a travel agency).
Road:
The highest quality data source for road travel would be litres of fuel consumed (or kWh for electric vehicles) throughout your reporting period. If this is not available distance is next best, however will be of slightly reduced data quality as we would have to estimate the fuel economy of the vehicle. The lowest quality data we can accept is financial spend as we not only have to estimate the fuel economy but also the cost of fuel.
Rail:
The highest quality data source for rail travel would be distance travelled. Following this we can accept annual spend on railway travel however due to the high disparity in train ticket prices across journey’s of similar distances (and different classes of travel) we would categorise this data low quality.
Air:
The highest quality data source for air travel would be distance travelled. Following this we can accept annual spend on air travel however due to the high disparity in plane ticket prices across journey’s of similar distances (and different classes of travel) we would categorise this data low quality.
You may include the start and end points of each trip, if you are interested in specific carbon costs of various destinations or trips, although this is not essential.
Sea:
The highest quality data source for sea travel would be distance travelled. Following this we can accept annual spend on sea travel however due to the high disparity in ticket prices across journey’s of similar distances we would categorise this data low quality.
Accommodation:
Here we’ll need to know how many nights were stayed in hotels, and in which country. For the UK please specify if your hotel was in London, otherwise please only state the country.
If you have other types of accommodation, other than hotels, that you regularly use then please speak to us about this.
General Travel Spend:
If your records do not differentiate between travel types, or you only have ‘travel’ spend, please indicate this on the last sheet for generic travel costs. However please note that this will reduce the quality of your travel footprint significantly.
